Your first document to sign

From PDF to sent, in four steps.

Galilei Sign lives under «Signatures» and also inside every transaction file. Sending a document is four steps — «Document», «Signers», «Fields» and «Review and send» — and this lesson covers the first two.

The document

  • PDF only, up to 25 MB. If it is password-protected, remove the protection first: the platform cannot open it and will say so.
  • Give it a title you will recognize in six months, not «final document v3».
  • Pick the «Document type». The platform suggests one by reading the file name and the first page, but the choice is yours and it is recorded as evidence of classification.
  • Link it to a transaction file when it applies: once completed, the signed document files itself in that transaction's folder.

One formatting detail that saves trouble: once signed, the document carries a footer with its serial number. Leave about two centimetres free at the bottom of every page so it does not overlap your content.

The three legal levels

Depending on the type you pick, the platform behaves in three different ways. This is the most important part of the lesson.

  • «Valid electronic signature»: the ordinary case. You continue with no friction.
  • «Requires your acknowledgment of limitations»: before sending, it shows you a legal text and you have to tick that you are proceeding at your own responsibility. That acknowledgment is stored and appears on the audit certificate.
  • «Cannot be signed here»: the platform blocks you. Deeds, mortgages, promissory notes, powers of attorney and affidavits require notarization and, in some cases, witnesses.

That block is not a product gap. It is what keeps you from signing a deed electronically and finding out at the registry, when there is nothing left to fix.

The signers

  • Each person carries a name, an email and their role: «Signs», «Receives a copy» or «Signs in person».
  • Quick add drops in the client on the file, or you, without typing anything.
  • Pick the order: «One after another» — each person receives it once the previous one finishes — or «All at once».
  • Two signers cannot share the same email. It is the error that bounces most often on send.
Tip: Use «One after another» only when the order genuinely matters: when you sign after the client, or when the broker closes it out. Everywhere else, «All at once» halves the cycle time because nobody waits on anybody.
