The client thread

Where email lives and who sees it.

In development. Telephony is complete, but turning it on is not immediate: registering your number with the US carriers is a regulated filing measured in weeks. Lessons 05 and 06 explain it before you start.

Before you send anything, it helps to know where it will end up. In Galilei a client's email does not live in your personal inbox: it lives inside their file, in its email panel. It is the first thing whoever opens that file tomorrow sees, and it is the difference between a ten-minute client handoff and one that starts with "can you forward me what you two discussed?".

Threads, not loose messages

The panel lists threads by subject, not messages one by one. Each thread holds the whole conversation — what you sent and what came back — and opens beside the list. Threads are grouped into folders: each of the client's transactions has its own, plus a general folder for whatever does not hang off one yet. The "All" filter gives you the full view back.

Search

Search covers the subject and the body of every email you can see. It is for the usual thing: finding the exact sentence where the client agreed to something, months later, without remembering which file it was in.

Filing an email that arrived elsewhere

Not all email goes through the platform, and that is fine. You have your own address for this: when you answer from your usual inbox, put that address in blind copy and the message files itself into the client's record. The platform works out which lead it belongs to from the address on the other end.

The address is yours and personal — it carries a key inside — so it is not shared with the team. It sits in the email panel itself, ready to copy into your phone contacts.

What your broker sees

Worth saying plainly, because everyone wonders and almost nobody asks out loud. Email sent from the file of an agency lead is the record of the work on that lead, and the broker sees it. Threads you are viewing as the team lead are marked as such, and the open thread says so too.

A realtor cannot mark a thread private: the platform refuses. The ones who can are the external professionals linked to the file — the lender, the title attorney — because their conversation with their own client is not a record of your agency's work.

Tip: If something is genuinely personal, do not send it from an agency lead's file. It is not the tool getting in the way: that email is, by definition, part of the file.
