Who sees what

Private by default, shared on purpose.

An uploaded document is born private. Nobody else sees it until you share it, and that includes the professionals already linked to the file. Access is granted document by document, not in bulk.

«Manage access»

  • You share with closing roles: lender, title attorney, transaction coordinator, inspector or appraiser.
  • Or with a specific person among those linked to the file.
  • And you pick the permission: «View» or «Download». They are not the same, and the difference matters when the document carries client data.

If nobody is linked to the file, the screen does not leave you stuck: it sends you to the Parties tab. First you link the professional, then you share the document.

The card says it out loud

Every document shows its state at a glance: «Private», or «Shared with» and the number. You do not have to open anything to know what has left the brokerage and what has not.

Revoking is immediate

Removing a permission cuts access on the spot. But whatever was already downloaded stays downloaded — no system on earth undoes that, and it is precisely why the «View» permission exists.

Deleting is not up to whoever uploaded

An agent does not delete: they hit «Request deletion» and write a reason, with a minimum length the screen counts for them. An agency manager approves or rejects it, and both answers reach the person who asked.

The manager does delete directly. And either way, the access log is kept: the file disappears, its history does not.

Tip: Share with «View» by default and move up to «Download» only when someone has to work with the file. Most of the time the lender needs to read it, not keep it, and that difference is what lets you sleep when the document carries an account number.
