The transaction folder

How it sorts itself and how a file gets in.

Every CRM file has its folder, with the file count written next to it. All of that client's paperwork lives there, and the first thing worth knowing is that it sorts itself.

It sorts by transaction, not by date

New uploads go to the folder of whichever transaction you have open, and the screen tells you BEFORE you upload anything: «New uploads go to the … folder». If the client has no open transaction, they go to the most recent one. The «All» filter gives you the full view back.

Uploading

  • Drag the file onto the area or hit «Upload document».
  • Pick the «Document type»: client ID, proof of funds, contract, disclosure, inspection report, title document, signed document or other.
  • Whatever comes out of Galilei Sign files itself here, tagged as a signed document. Nothing to move by hand.

Every file goes through antivirus

On upload, the document sits at «Scanning…» and only becomes «Available» once it passes. If it does not pass, it reads «Blocked» and cannot be downloaded. If the scan drags, you get «Verification pending» with its «Retry» button.

It is not a loading screen to be patient with: it is the reason you can forward a file to a lender without thinking twice.

What the folder does NOT do

It does not keep versions. If you upload the corrected contract, it is one more document and not version two of the previous one. Name them so the order reads itself, because the folder will not do it for you.

Tip: The document type is not paperwork for its own sake. It is what lets you find the proof of funds from a closing eight months ago without opening six files. Two seconds on upload, ten minutes saved the day somebody asks for it in a hurry.
